Weekly vs. Monthly Payroll: Which Is Right for You?

Weekly payrollSuits construction, security, retail, hospitality, manufacturing and any business with hourly or casual workers. Staff get their money faster, but you have more pay runs, more overtime calculations and more admin. That's where outsourcing saves the most time.
Monthly payrollSuits salaried teams, professional firms and offices. It's simpler to administer, and the deadlines line up with your monthly bookkeeping.

Some businesses run both: monthly pay for office staff and weekly pay for site or shop-floor workers. We handle mixed payrolls as a single service.

The Payroll Compliance Rules Every Employer Must Follow

Payroll in South Africa involves several authorities at once. Here's what your business is responsible for.

Monthly EMP201Declare and pay PAYE, UIF and SDL to SARS by the 7th of the following month, or the preceding business day if the 7th falls on a weekend or public holiday. Late payment carries a 10% penalty plus interest.
UIF1% from the employee and 1% from the employer, up to the UIF income ceiling. SARS collects both through the EMP201. Employers must also keep the Department of Employment and Labour updated through uFiling.
Skills Development Levy (SDL)1% of total gross remuneration, with an exemption for employers whose total annual remuneration is below R500,000.
EMP501 reconciliationsA twice-yearly check that your EMP201 payments match your payroll records. Interim submissions close on 31 October and annual submissions on 31 May. Mismatches can trigger SARS verification letters or an audit.
IRP5 / IT3(a) certificatesEvery employee needs a tax certificate at year-end for their own tax return. Errors here are a common cause of frustration.
COIDA and BCEARegister with the Compensation Fund and submit the annual Return of Earnings. Payslips must carry the required details, and pay must meet the National Minimum Wage or the applicable bargaining council rate. See COIDA registration.

We update your payroll for the new tax tables every 1 March. Official guidance: SARS: Pay As You Earn.
